Manage day-to-day administrative tasks, including phone calls, emails, and correspondence.
Greet visitors and ensure compliance with the company's check-in policy.
Prepare reports, presentations, and documents with high accuracy.
Maintain organized filing systems and databases.
Facilitate communication between departments and teams.
Collaborate with the IT department to address technical issues.
Handle and prioritize sensitive and confidential information.
Track and manage office equipment and maintenance schedules.
Collaborate with vendors for office supplies and services.
Conduct research and compile data for special projects.
Support the implementation of new office policies and procedures.
Support marketing initiatives with administrative tasks.
Assist in the preparation and coordination of audits.
Handle ad-hoc tasks and projects as assigned by management.
Safety:
Maintain compliance with safety regulations.
Assist in organizing safety training sessions and maintaining training records.
Draft and edit HR and safety-related correspondence.
Circulate information on HR and safety policies and procedures.
Assist in planning and organizing safety-related events.
Conduct monthly inventory of all first aid kits.
Assist leaders with on-job injuries/workers' comp.
Human Resources (HR):
Assist in the recruitment process as needed.
Maintain employee records and documentation.
Act as a point of contact for employee inquiries and concerns.
Support HR in employee engagement initiatives.
Coordinate and schedule HR-related activities and meetings.
Communicate and ensure the onboarding/termination team prepares for new hire setups and disables terminated employee accounts.
Arrange in-house cleaning for new hire setups.
Schedule and administer onboarding for all new hires.
Prepare termination packets and perform exit interviews.
Coordinate leadership training and miscellaneous training for all employees with ADP.
Monitor and process 90-day and annual performance reviews for all employees.
Participate in the planning and execution of company events.
Assist in the preparation of training materials for various departments.
Coordinate employee recognition programs and events.
Manage the distribution and organization of company merchandise.
Assist in the coordination of team-building activities.
Maintain the employee message board with current information.
Financial and Accounting:
Support basic accounting tasks and financial record-keeping.
Complete payroll Excel sheets for hourly employees at payroll closing bi-weekly.
Collect and process timesheets for all salaried employees.
Process invoices by emailing clients.
Note the invoice file and Master Job list.
Perform credit services by contacting clients on delinquent accounts.
Sort and organize incoming invoices for payables.
Process outgoing payables for US mail and file payable statements.
Assist in the preparation of financial reports and budgets.
Handle petty cash and reimbursements for employees.
Travel:
Arrange and coordinate travel for team members.
Manage travel-related documentation and expenses.
Inventory and Supplies:
Maintain inventory levels for office and cleaning supplies.
Inventory office supplies and work with the CFO to replenish as needed.

The check will bounce and the victim is left responsible.
